Software for farm diversification

Know which sheds are let, who's paid and when the EICR is due.

For farms letting out barns, yards, workshops and stores. Site Manager reads the rent from the Xero you already use, works out each tenant's electricity from the barn sub-meters and reminds you before the insurance or an EICR runs out. The rest of the farm accounts stay out of it.

Made by landlords, not a software house. We let yards, units and containers ourselves and run them on Site Manager every day. It was built for sites where the person doing the lettings has another job as well. About us

What it does on a farm

Every barn and yard on one board

Each shed, yard, workshop and store gets a tile. Green is let, amber is empty, red owes you money. Tap one for the tenant, their agreement, the meter and what they've paid.

Rent from the Xero you already use

Each tenant is linked to their contact in Xero, so the board shows their rent and nothing else. Grain cheques and subsidy payments stay out of it. Site Manager only reads: it can't change your books.

Barn sub-meters, recharged properly

Log the readings on your phone, set your unit rate and standing charge, and it works out what each tenant owes and which months haven't been billed. You raise the invoice in Xero as normal.

Insurance, EICR and fire risk dates

Put in the renewal dates once and file the certificates against them. You get a reminder before each one runs out, and repairs go on the same list.

A page for your empty sheds

Write a listing with a few photos and it goes on your own public vacancies page. Send the link round on WhatsApp or Facebook, and enquiries come straight to your inbox.

Let the family or the accountant see it

Give a partner, a son or daughter, or your accountant their own login. View-only if you'd rather they looked and didn't touch.

The farm accounts stay as they are

Keep doing the books in Xero, or keep sending them to your accountant. Site Manager only reads from Xero and adds the bits it doesn't track.

Questions we get asked

Will it get mixed up with the farm accounts?

No. You link each tenant to their contact in Xero, and Site Manager only shows those tenants' invoices and payments. If you keep the lettings in a separate Xero organisation, connect that one instead. Either way it only reads, so nothing in your books is changed.

I've only got a handful of tenants. Is it worth it?

Starter covers up to 10 spaces for £29 a month + VAT. If you have two tenants on long leases who always pay on time, you probably don't need it. It earns its keep when there are sub-meters to recharge, certificates to keep on top of, or the odd shed sitting empty.

How do the barn sub-meter recharges work?

You or whoever reads the meters logs each reading on a phone. Set your unit rate and standing charge, and Site Manager works out what each tenant owes for the period and marks which months have been billed. You still raise the invoice in Xero.

What counts as a space?

Anything you let on its own: a barn, a workshop, a yard plot, a grain store, a container or a stable block. A barn with a separately let yard is two spaces.

Do I need Xero?

No, but it's much better with it. Without Xero you record rent and payments by hand. With it, invoices and payments come in by themselves and you can see who's behind without asking anyone.

Can Stag do the lettings for us instead?

Yes. Co-managed, where we chase rent and handle tenant emails and compliance, starts from 6% of the rent collected and works wherever your farm is. Fully managed, with lettings, viewings and repairs, is only in Lincolnshire, Rutland, Leicestershire, Peterborough and along the A1.
